WhatsApp automation for the channel South Africans actually use.
Your customers are not filling in contact forms. They are messaging you on WhatsApp, at night, on weekends, frequently while messaging two competitors as well. WhatsApp automation answers them in seconds, qualifies the job, books the slot and hands you the ones worth your time, on the official Business API with your number registered to your own business.
WhatsApp automation from R4,500 setup and R899 a month, Meta verification included, fixed in writing first.
Replying on WhatsApp
Why WhatsApp automation matters more here than anywhere
South Africa does business on WhatsApp in a way most of the world does not. Your customer will message before they call, call before they email, and never fill in a form at all. Six consequences, each of which changes how WhatsApp automation has to be built.
The first reply usually wins
Your customer messaged three suppliers in the same minute. Not the best quote, not the nicest website. Whoever answered first with a real number gets the work, and after hours that is nobody.
The enquiry arrives at 21:40
People message when they finish work, which is when you finish work. WhatsApp automation covers exactly the window where every one of your competitors is also asleep.
It lands on somebody's personal phone
Most small businesses run WhatsApp off one staff member's handset. When they leave, the customer history leaves with them. That is a real commercial risk and almost nobody prices it.
People write in whatever language they think in
isiZulu opening, English middle, Afrikaans price question. A business that follows that naturally reads as local. One that replies in stiff English does not.
Your ad spend ends here
Click-to-WhatsApp is where a growing share of paid traffic terminates. A slow reply is not just a lost lead, it is budget you already spent to create that message.
Load shedding does not stop it
WhatsApp automation runs in the cloud, not on a machine in your office. Your premises can be dark and your business still answers, which in this country is not a hypothetical.
WhatsApp automation answering, qualifying and closing while the office is shut.
Official WhatsApp automation against the cheap alternative
There are cheaper ways to build WhatsApp automation. They work by pretending to be a person using WhatsApp Web, they breach Meta's terms, and they get numbers banned without warning. We only build on the licensed API, documented publicly in the WhatsApp Cloud API reference, and we will not take the work on the other basis at any price.
| What you get | Official API | Unofficial tools |
|---|---|---|
| Your number stays safe | Yes | Ban risk, no warning |
| Green verified business badge | Available | No |
| Multiple staff, one number | Yes | No |
| Approved broadcast templates | Yes | No |
| Reliable delivery at volume | Yes | Throttled |
| Works if you change phones | Yes | Breaks |
| Conversation history you own | Yes, exportable | Device only |
| Survives a staff member leaving | Yes | History leaves too |
The ownership question nobody asks their supplier
- Whose Meta Business account holds the number? On our builds it is yours. Plenty of providers register it under their own, which means your number leaves with them.
- Can you export the conversations? Yours are exportable in full. Those transcripts are the most honest customer research your business will ever own.
- Does the bill rise as volume rises? Ours is flat monthly with messages included. Per-conversation pricing punishes you exactly when WhatsApp automation starts working.
- What is the notice period? Thirty days, and you keep the number, the history and the configuration.
- Who is accountable for the personal data? You are, under POPIA, which is exactly why it must sit somewhere you control.
What WhatsApp automation does for your business
Every capability below runs on the official WhatsApp Business API, which means it is licensed, reliable and your number stays safe while it does them.
Replies within seconds
Day, night, weekend, public holiday. The first reply usually wins the job, and yours arrives before your competitor has woken up.
Quotes standard work instantly
Your fixed prices given straight away, with variables captured for you to price properly. Most enquiries get a real number in the first two messages.
Takes bookings
Offers your actual availability, confirms the slot and sends a reminder the day before. Cuts no-shows and removes the usual four-message negotiation.
Sends payment links
For stocked products and standard services the customer pays inside the conversation. The order arrives complete rather than as a message to interpret.
Chases quotes and follow ups
Quotes that went unanswered, services falling due, invoices outstanding. Scheduled, polite, in your voice, without anyone remembering to do it.
Sends broadcast updates
Delivery notifications, stock arrivals, seasonal specials and outage notices, to opted-in customers through approved message templates.
Answers in their language
Someone opens in Afrikaans, isiXhosa or Sesotho and the reply comes back in the same language. That single detail changes how your business feels.
Hands to a human instantly
Complaints, emergencies and anything sensitive route to your team the moment they appear, with the whole conversation attached.
Keeps history in one place
Your team works from a shared inbox, so it no longer matters which staff member's phone the customer originally messaged, or whether they still work for you.
Meta business verification, handled for you
This is where most South African businesses abandon WhatsApp automation and go back to answering on a personal phone. It is genuinely fiddly, it fails on small paperwork mismatches, and it is included in our setup fee. Here is exactly what happens.
Business Manager
We set up or clean up your Meta Business account, in your name, with you as owner and us as a partner you can remove at any time.
Documents
CIPC registration, proof of address and a matching utility or bank document. Mismatched trading names are the single most common rejection.
Verification
Submitted and tracked. Usually a few days, occasionally longer. If it is rejected we correct and resubmit rather than handing the problem back to you.
The number
Your existing number migrated, or a new one issued. We advise which suits before anything moves, because the decision is not reversible in a day.
Display name
Submitted for approval so customers see your business name rather than a number. Then the green badge application, where you qualify.
The one decision to make before you start
- A number on the Business API cannot be used in the normal WhatsApp app. If your main business number is also the one your team answers by hand on a phone, migrating it changes how they work permanently.
- Most clients issue a fresh number for WhatsApp automation and keep the old handset line running in parallel for a few months.
- The number must never have been registered on WhatsApp before, or it has to be fully deregistered first. Getting this wrong costs a week.
- The "link your WhatsApp" button on a Facebook Page is not the API. It is a click-to-chat link. Do not point it at your automated number expecting it to work.
Live sites we built, running in this page
These are the actual live websites from our own group of companies, named rather than hidden behind an anonymous case study. Open either one and search for the services it sells.
National security brand, ranked across ten city pages, with enquiries routed to WhatsApp.
Regional investigations brand across Gauteng, Limpopo and KwaZulu-Natal, profile-led and chat-first.
More builds are on the portfolio. We will open Search Console live on a call rather than sending you a screenshot of one.
WhatsApp automation pricing, published in full
WhatsApp automation setup includes Meta verification and number configuration. The monthly fee covers hosting, conversation costs, monitoring and retraining. No per-conversation billing, no message bundles to buy separately.
WhatsApp only
Then R899 a month. Official API, verification handled, assistant trained on your business, shared team inbox.
WhatsApp plus website
Then R1,450 a month. One assistant across both channels, sharing what it knows about each customer.
WhatsApp plus workflows
WhatsApp automation wired into quoting, invoicing and job cards, so the conversation triggers the admin behind it.
The website side is covered on AI chatbots, the admin side on business process automation, and the whole picture on AI automation. We deliver WhatsApp automation across Johannesburg, Sandton, Midrand, Centurion, Pretoria, Cape Town, Durban, Gqeberha, Bloemfontein and Polokwane, and remotely nationwide. Regional clients in Zimbabwe, Kenya and Botswana are quoted in local currency.
WhatsApp automation questions we get asked
How much does WhatsApp automation cost in South Africa?
WhatsApp automation is R4,500 to set up and R899 a month with us, including Meta verification, hosting, conversation costs and monthly retraining. Adding your website brings it to R7,500 setup and R1,450 a month across both channels. There is no per-conversation billing, which matters because that model raises your bill exactly as the thing starts working.
Can I keep my existing WhatsApp number?
Usually yes, but read this carefully. A number migrated to the Business API can no longer be used in the normal WhatsApp app on a phone. If your team currently answers that number by hand, migrating changes how they work permanently. Most clients issue a fresh number for WhatsApp automation and keep the handset line running alongside it.
Will my number get banned?
Not on the official API, which is exactly why we only build there. Bans happen to businesses using unofficial tools that automate WhatsApp Web against Meta's terms. Those tools are cheaper, they work for a while, and then the number disappears with your customer history on it. We decline that work regardless of budget.
Who owns the number and the conversations?
You do. The number sits in your own Meta Business account with you as owner, and we are a partner you can remove at any time. Conversation history is exportable in full and the trained configuration is yours on request. Ask any other provider the same question before you sign, because plenty register the number under their own account.
Can my staff still reply personally?
Yes, and that is the point. Your team works from a shared inbox and can take over any conversation at any moment. WhatsApp automation handles the routine and steps back the instant a person joins. It also means the history stays with the business rather than on one employee's phone.
Can it send bulk messages to my customer list?
Yes, through approved message templates and only to customers who have opted in. Delivery notifications, stock arrivals and specials all work well. Unsolicited bulk messaging is not permitted, would get your account restricted, and is also a POPIA problem, so we build consent capture in from the start.
How long does Meta verification take?
Typically a few days once the paperwork is right, occasionally longer. Rejections usually come from a trading name on your documents not matching the name you submitted. We handle the submission, track it, and correct and resubmit if it bounces, all inside the setup fee.
Can WhatsApp automation take payments?
It sends payment links from your existing gateway, so the customer pays inside the chat and you get notified when it clears. Full checkout with stock and delivery rules sits on the online store side rather than in the conversation.
What about the green verified badge?
That is Meta's official business verification and it becomes available once your business is verified and meets their criteria, which lean heavily on public notability. We submit the application as part of setup, though the decision is Meta's rather than ours and we will not promise you an outcome we do not control.
Does it work with my CRM?
Most likely. WhatsApp automation connects to common CRMs, Google Sheets, email and anything with an API, so qualified leads land wherever your team already works rather than in another separate system nobody opens.
What happens during load shedding?
Nothing changes. The assistant runs in the cloud rather than on a machine in your office, so it keeps answering even when your premises have no power and your team cannot. For a lot of South African businesses that alone justifies the monthly fee.
Is WhatsApp automation POPIA compliant?
It is set up to be, with consent captured before personal information is stored, retention limits applied, and opt-out honoured on broadcasts. The conversation data belongs to your business and is exportable and deletable on request. You remain the responsible party under the Act, which is precisely why the data sits somewhere you control rather than on our platform.
